What is the job about?
As a Customer Care Officer, you will be the initial point of contact for all inquiries from assigned customers regarding order and delivery status. You will ensure correct documents are provided to the customer to enable timely clearance of goods while maintaining a high level of customer satisfaction and responsiveness.
Some of the position’s main responsibilities are:
Responsible for raising sales orders and placing orders with relevant suppliers on time.
Communicate with customers in a timely manner on the status of their orders.
Negotiate improvements on lead times and optimize delivery conditions for all orders.
Organize and ensure that customers receive relevant and correct shipping documentation.
Update order confirmations and liaise with supplier/production to ensure delivery schedules are acceptable.
Timely coordination of shipments and any changes to orders with suppliers, vendors, forwarders and warehouse.
Adapt a proactive approach to address and follow up on orders and keep the customer informed on a periodic basis on the time frame for delivery confirmation, any possible delays and creative solutions and alternatives to overcome these challenges in coordination with External Sales.
Review the market’s order book status, provide invoicing forecast and order booking forecast with regular updates to sales and/or management.
Follow up customer complaints, queries and delivery deviations.
Ensure all relevant approvals in line with procedures are in place.
Handling of import documents and liaising with shipping / clearing and forwarding agencies.
Assist in stock management by ensuring slow moving and obsolete goods are proactively managed.
What do you need to apply?
To be considered for this position you should fulfill the following requirements:
Minimum secondary school completion, bachelor’s degree in any discipline would be an advantage.
At least 2 years’ related experience in a similar role preferably in a Trading/Manufacturing Company.
Knowledge and understanding of Customer Service and Supply Chain Management.
Computer literate with working knowledge of ERP Systems (e.g. SAP) and proficiency in MS WORD, EXCEL and Outlook.
A good problem-solver with strong analytical abilities; and able to provide permanent solutions on recurring issues.
Pro-active and a self-starter who is committed to success for the long term.
Possesses very good written and verbal communication skills.
Has a good administrative background. Must have an eye for detail and the ability to work under pressure in a fast-paced environment. Able to deal with frequent changes, delays, or unexpected events.
Possesses very good coordination, customer service and interpersonal skills.
Acts with discretion and good judgment.
Able to work independently and as an active team member.
Proactively provides support to fellow team members and shares knowledge / experiences willingly.
Looks for ways to improve and promote quality and applies feedback to improve performance.
Meets productivity standards and completes work in timely manner.
