Arrange and attend weekly Executive and Leadership Committee meetings, minute taking and pro-actively planning and often idea generating for future meetings

Proactively prepare documents, reports and data ahead of meetings

Complex and multi stakeholder diary management – including arranging video conferencing, conference calls, internal and external meetings across multiple time zones

Arranging travel plans and itineraries; compiling documents and schedules for travel-related meetings.

Organize and coordinate extensive diary plans along with local and international travel arrangements

Coordinate with sub regional and regional offices

Weekly input, review and submission of timesheets and company expenses, liaising with accounts department regarding any client billing issues

Create, edit and review PowerPoint presentations

Project coordination and event management

Provide research assistance for RFP’s and other organizational priorities

Manage confidential and sensitive information with the strictest discretion

Advanced Microsoft Office skills, particularly Outlook, Word, Excel and PowerPoint

High level diary, logistical and travel management skills

Proactive solutions orientated approach to stakeholder management

Excellent written and verbal communication skills – ability to liaise confidently with internal and external VIPs

High level prioritization, organisation and time management skills

Experience in delivering administration, event management and project coordination

7+ years previous experience as a personal / executive assistant with experience looking after senior individuals ideally with some experience in the UAE

Demonstrable experience undertaking financial tasks such as budget maintenance and processing expenses

Previous experience working in a role that required the ability to work with stakeholders in different time zones would be an advantage

Ability to be extremely flexible, accommodating changes in schedules and logistics

A team player, who is discreet and professional in the workplace

Ability to manage and coordinate sometimes conflicting priorities

Organising departmental functions and meetings

Handling expenses and time reports

Client focused – ability to understand and respond appropriately to client requirements in an effective, timely and client orientated manner
