POSITION: Female Office Manager cum PA for the PDC Group Founder & CEO

PDC Group is urgently looking for an Office Manager cum PA to the Group Founder & CEO. Candidates that can join immediately will be an added advantage.

Educational requirements: ‎

Bachelor’s degrees in any of the following: ‎

Business Administration

Business Management

Commerce

Other courses related to Admin, HR and Management

Qualification: ‎

Must have strong and relevant experience in supporting company operations by maintaining office systems and supervising staffs.

UAE Driving License is an added advantage.

Only female applicants are required.

3 -4 years working experience.

With relevant experience in WPS Salary transfer

Key skills: ‎

Excellent time management skills and ability to multi-task and prioritize work

Strong organizational and planning skills in a fast-paced environment

Excellent written and verbal communication skills

Knowledge of office administrator responsibilities, systems and procedures

Proficiency in MS Office (MS Excel and MS Outlook, in particular)

Familiarity with email scheduling tools

Patience and concentration

Attention to details

Team working skills

Office Manager Responsibilities: ‎

Daily monitoring office activities and operations.

Attending to necessary correspondence either email, phone or meetings.

Keeps management informed by reviewing and preparing daily task plans and updates and consolidated Weekly Task Sheet Reports.

Maintains office services by organizing office operations and procedures; preparing payroll; facilitating correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.

Maintains and facilitate HR files, records and procedures.

Maintains and facilitate the use of Company files, records, documents. Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.

Designs, gets approval from Management and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.

Completes operational requirements by scheduling and assigning employees; following up on work results.

Keeps management informed by reviewing and preparing daily task plans and updates and consolidated Weekly Task Sheet Reports.

Maintains office staff by recruiting, selecting, orienting, and training employees.

Coordinate with the top Management for discipline and appraisal of staffs.

Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.

Contributes to team effort by accomplishing related results as needed.

Maintain office facilities, report and initiate necessary repairs and maintenance.

Provide general support to client and visitors.

PA (Personal Assistant) to CEO Responsibilities: ‎

Acting as the point of contact between the CEO and Clients, staffs or suppliers

Screening and directing phone calls and distribute correspondence

Handling requests and queries appropriately

provide personalized secretarial and administrative support in a well-organized and timely manner

Work on a one-to-one basis on a variety of tasks related to Managing Director’s works and communication.

Manage diary and schedule meetings and appointments

Make travel and booking arrangements

Take dictation and minutes

Source office supplies

Produce reports, presentations and briefs

Devise and maintain office filing system

Requirements:
Proven work experience as a personal assistant

Knowledge of office management systems and procedures

MS Office and English proficiency

Outstanding organizational and time management skills

Up-to-date with latest office gadgets and applications

Ability to multitask and prioritize daily workload

Excellent verbal and written communications skills

Discretion and confidentiality
