FRONT OFFICE ADMIN / PERSONAL ASSISTANT

An exciting opportunity has arisen for an experienced, motivated professional with positive attitude, who is looking for new challenges and exciting work environment

The Role

As an Office Administrator you will be responsible for ensuring the smooth running of our everyday operational activities by maintaining strong relationships with the sales and project managers and assistants as well as various teams in headquarters in the Czech Republic. This is a permanent senior position and as such you will be expected to work closely with the managing director while making sure the general office runs smoothly

You will be responsible for the Following:

General office and reception administration
Maintaining office supplies
Organization of business travel and events
Diary coordination – ensure team members are kept up to date with all meetings, events and deadlines
Meetings coordination, incl. preparation of agendas, reports, minutes, etc.
Preparing documents, incl. printing and binding of documents and presentations
Petty cash handling and managing the office expenses
Processing of invoices, coordination of shipments and deliveries
Producing reports for the managing director, incl. P&L and Account Statements

Desired Skills and Competencies:

Excellent verbal and written communication skills
Proven organizational skills and strong attention to detail, with the ability to prioritize heavy workloads and remain calm under pressure
Good commercial and financial awareness
Previous experience managing a team is beneficial
Advanced Outlook, MS Office
Excellent organization and time management skills
A collaborative team player, able to successfully build relationships
3 or more years of demonstrated ability to administrate offices effectively
Strong and analytic frame of mind
