Duties & Responsibilities
Management and processing of all internal and external communications of the company. The main administrative function is to handle and ensure proper dissemination of incoming and outgoing communications such as telephone calls, letters, emails, faxes, bills, etc.
Effective and proper filing system of documents and maintaining database that is highly important for the smooth operation of the company.
Implementing and maintaining office systems.
Facilitating the processes of annual leave of the labourers; scheduling and procurement of ticket.
Responsible for the issuance of payslip for all the labourers.
Prepare and send correspondence related to HR (Internal Memo, Certification, Offer Letter, Employee Transfer, Salary Review Letter, Warning, Termination, Acceptance of Resignation, Labour & Visa Processing/Renewal/Cancellation, etc.).
Maintain and update Employees Master List, Employee Details Sheet and personnel files.
Induction of new employee. Process employee leave application, rejoining, personal request, cash advance, Trade change, resignation, etc.
Update and monitor expiry date of employees’ passport, labour card, visa, company Licenses/Certificates.
In-charge of medical insurance (addition, deletion, reimbursement, confirmation of fine from employees).
Coordinate with manpower suppliers related to hiring manpower within UAE and obtaining best rate.
Coordinate with recruitment agents for hiring labours outside UAE (agreement, recruitment and processing application).
Prepare Recruitment Contract, Demand Letter, POA, etc.
Monitors labours timings and overtime by coordinating with the camp boss.
Facilitates the transportation for labours from camp to site and back.
Deals with the concerned authorities regarding camp issues such as electricity, water, A/C and gas connections. Ensures that services are utilized and connected as per municipality standards.
Deals with internal camp issues such as insuring that all labours are in compliance with the company’s policies and regulations set for camp premises.
Acts as mediator between the management and the labours at the same time between the labours themselves concerning camp issues.
Responsible for scouting labour camps and negotiating the best deals with the real estates.
