Required Skills

Impeccable written and oral communication skills
Proficiency in Microsoft Office, including Word, Excel, and PowerPoint
Proficiency in Google Drive and Dropbox
Excellent telephone communication manner and customer service skills
Ability to organize, multitask, prioritize, and work under pressure
Strong sense of responsibility and ability to complete tasks with minimal supervision
Essential Duties and Responsibilities

Managing the office calendar and personal calendar of the CEO
Answering and forwarding office calls
Coordinating presentations and out of office events
Performing basic bookkeeping, filing, and clerical duties, including:
Handling petty cash and light accounting
Managing office and marketing material inventory
Managing office and marketing material budget
Communicating with vendors
Organizing client files
Coordinating courier orders
Collecting payment from clients
Sending client invoices and payment reminders
Depositing and collecting checks from bank
Providing CEO with client information before meetings
Updating client meeting notes
Managing CEO’s calls while he is out of office
Monitoring team email account
Acting as substitute for office manager on Fridays
Managing limited HR duties, including:
Employee on-boarding process and termination process
Employee health insurance coordination
Employment authorization letters
Employee parking passes
Employee work visas and contracts
Employee expense claims
Qualifications

Bachelor’s degree from accredited western university
5+ years experience as a personal assistant to a corporate leader
