Job Title: Executive Property Management
Salary: 8,000 – 10,000 AED PM
Support in Audit and management of all service providers’ performance on site. Ensure effective delivery of property management services which meet or exceed management/tenant expectation to achieve or exceed targeted revenues, savings, profitability and growth aligned with the department objectives.
Management of Service Providers:
Manage FM service provider’s performance i.e. active and re-active maintenance, updating the system used by FM provider.
Follow up on unit reinstatement.
Review and follow up on proposals from service providers and other parties.
Validate and approve all work request approvals as well as to inspect and confirm that maintenance work is completed.
Managing service providers’ performance, contract and attendance on site against the set SLAs.
Asset Condition Monitoring:
Follow up and solve tenants’ complaints, and update the records accordingly.
Conduct a check-in / Check – out inspection for units with tenants as per the process.
Conduct building fabric inspection and per the approved schedule. And regular community inspection and identify possible area/ ideas to enhance community.
Identify violations within the community and issue violation/ preaches notices accordingly and keep records and follow up on the same to ensure that the community rules are followed.
Coordinate with tenants to provide access where and when required for maintenance work.
Verify utility bills for common areas.
Maintain the applied energy management system.
Work with concerned department / service providers to close HSE Risks where possible.
Prepare reports to provide the manager with timely information review of the property management activities as well as service providers’ performance.
Filing all required documents.
Prepare and send circulars and notices to tenants.
Prepare proposals for management when required.
Regular updates to the CRM system.
Make sure incident reports are issued and follow up with concerned departments to close the report.
Forward to concern department all violation notices that has not been rectified by tenants within the given notice period.
Take over project from contractor / consultant and manager the same during DLP along with FM service provider where and when required.
Support the line manager with day to day activities of the department to ensure higher level of customer satisfaction and profitability for the business.
Coordinate with Authorities / Third parties and service providers for any events / emergencies in the community.
Key Performance Indicators
Delivery of property management services in line with department objectives.
Time and cost saved due to effective coordination.
Accurate and timely reports.
Relationships maintained/built with vendors and customers.
Number of opportunities identified for improvement, got approved and implemented.
Delivery of excellent customer service.
Coordinate with vendors and customers and accomplish goals in the assigned timeframe.
Multitask and follow up with vendors and department managers.
