The ideal candidate will be an experienced, polished professional who is genuinely passionate about the work of a Sales and Project Administrative Assistant. They will be experienced in handling a wide range of administrative and sales support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting 2 Sales Managers and 4 Cloud Architects.The ability to interact with staff (at all levels), clients and partners in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level is written and verbal communication skills, strong decision-making ability and attention to detail are equally important.
Essential Duties And Responsibilities
Assisting in reviewing SOWs prior to signing and execution.
Collaborating with Solution Architects and Implementation Team on project staffing and task allocation.
Coordinating communications between the client and internal teams on project scope, staffing, risks, and budget with assistance when required.
Tracking milestones for successful, on-time, on-budget completion, providing reporting as necessary against baseline schedule, and participating in post-project lessons learned meetings.
Tracking and ensuring timely and accurate invoicing, and monitoring deliverables and receivables for project
Assisting in the preparation of project reviews.
Maintaining internal document repository/portal ensuring project documents are complete, current, and stored appropriately
Documenting, filing, and routing post project internal and external meetings as required
Reviewing consultant billable hours and expenses, and client invoices prior to submission
Preparing reports on project progress, maintaining/updating issues and risk logs, and logging accurate hours and expenses on a weekly basis.
Managing supplier agreements
Creating a structured support system where necessary using your experience
Keeping accurate inventory records
Working with suppliers, ordering company stationary etc
Plan staff activities
Manage team appraisals and project bonus
Making sure all personnel records are up to date
Be the first point of contact for payroll inquiries, staff sickness and holidays
Working with company directors both personally and within the business
Experience in creating new processes within a business
You must have initiative and always be looking for ways to improve yourself and the business.
Outstanding communication skills, both oral and written
Must be able to multitask in a fast pace environment and complete tasks independently
A can-do attitude and willingness to pitch in where ever needed
Additional Qualification(Not Mandatory)
Basic knowledge of internal UAE HR process such as updating the company handbook in-line with legislation updates.
